Writer Match ("we", "us", or "our") operates the WriterMatch application and website at app.writermatchapp.com (the "Platform"). This Privacy Notice explains how we collect, use, store, and share your personal data when you use the Platform.

2. Personal Data We Collect

2.1 Data You Provide Directly

2.2 Data Collected Automatically

When you use the Platform, we may automatically collect: device information (device type, operating system, browser type); usage data (pages viewed, features used, interactions with matches); IP address; and app performance data (crash reports, diagnostics). This data is collected through our hosting infrastructure and analytics tools.

2.3 Data from Third-Party Services

If you sign in using a third-party service (e.g., Google), we receive your name and email address from that provider in accordance with their privacy policy and your account settings.

3. Legal Bases for Processing

Under UK GDPR, we process your personal data on the following legal bases:

4. How We Use Your Data

We use your personal data to: provide, maintain, and improve the Platform; match you with compatible writing collaborators; facilitate communication between matched users; send you service-related notifications; respond to your enquiries and support requests; monitor and enforce compliance with our Terms of Service; detect, prevent, and address fraud, abuse, and security issues; and comply with legal obligations.

We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects, other than the matching algorithm which recommends potential collaborators based on your stated preferences.

5. Who We Share Your Data With

5.1 Other Users

Your profile information, including your name, bio, genres, availability, and creative content, is visible to other users of the Platform for the purpose of matching and collaboration. Your email address is not shared with other users unless you choose to share it directly.

5.2 Service Providers

We share data with third-party service providers who assist us in operating the Platform, including:

All service providers are bound by contractual obligations to process your data only on our instructions and in accordance with applicable data protection law.

5.3 Legal Requirements

We may disclose your data where required by law, regulation, legal process, or governmental request, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

We do not sell your personal data to third parties.

6. International Data Transfers

Your personal data is primarily stored on servers located in the European Union (Ireland) via our hosting provider, Supabase. Where data is transferred outside the UK or EU, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the UK Information Commissioner’s Office (ICO) or the European Commission, or transfers to countries with an adequacy decision.

7. Data Retention

We retain your personal data for as long as your account is active and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our Terms of Service.

When you delete your account, we will delete or anonymise your personal data within 30 days, except where retention is required by law. Backup copies may persist for up to 90 days before being permanently deleted.

Messages exchanged with other users may remain visible to those users even after your account is deleted, but your identifying information will be removed or anonymised.

8. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:

Right of access: You may request a copy of the personal data we hold about you.

Right to rectification: You may request that we correct any inaccurate or incomplete personal data.

Right to erasure: You may request that we delete your personal data, subject to our legal obligations.

Right to restrict processing: You may request that we restrict the processing of your personal data in certain circumstances.

Right to data portability: You may request a copy of your personal data in a structured, commonly used, and machine-readable format.

Right to object: You may object to our processing of your personal data where we rely on legitimate interests as the legal basis.

Right to withdraw consent: Where we process your data based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing before withdrawal.

9. Additional Rights for US Users

California Users (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), including: the right to know what personal information we collect, use, and disclose; the right to request deletion of your personal information; the right to opt out of the sale or sharing of your personal information (we do not sell or share personal information as defined by the CCPA); and the right to non-discrimination for exercising your privacy rights.

Residents of other US states with applicable privacy legislation (including Virginia, Colorado, Connecticut, and others) may have similar rights. Please contact us to exercise any applicable rights.

10. Children’s Privacy

The Platform is not directed at children under the age of 16. We do not knowingly collect personal data from children under 16. If we become aware that we have collected personal data from a child without verification of parental consent, we will take steps to delete that information.

For users aged 16 to 17, parental or guardian consent is required. We may request verification of such consent.

11. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These measures include encryption of data in transit and at rest, access controls, and regular security assessments.

While we take reasonable steps to protect your data, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.

12. Cookies and Similar Technologies

The Platform may use cookies and similar technologies for essential functionality (such as authentication and session management). We will obtain your consent before using any non-essential cookies, such as analytics or advertising cookies.

The Platform may contain links to third-party websites or services, including file-sharing services such as Google Drive. This Privacy Notice does not apply to third-party services, and we are not responsible for their privacy practices. We may update this Privacy Notice from time to time. We will notify you of material changes by email or in-app notification. The “Last updated” date at the top of this notice indicates when it was last revised.
